Privacy Policy

This Privacy Policy explains how SynthoSoft collects, uses, discloses, and protects information in connection with the synthosoft.app website and the SynthoCore Digital Workspace product family (the “Services”).

1. Who we are

SynthoSoft is a product brand of SynthoCore Automation Inc. References to “SynthoSoft,” “we,” “us,” or “our” in this policy mean SynthoCore Automation Inc.

2. Information we collect

  • Contact form submissions: name, company, work email, the Office apps you're interested in, and any message you choose to include, when you submit the contact form on this site.
  • Account and licensing information: if you become a customer, the organization name, admin contact details, and seat/license counts needed to provision and bill SynthoCore Digital Workspace through the Microsoft 365 admin center.
  • Product usage data: basic diagnostic information (such as add-in version and error reports) needed to keep SynthoCore Digital Workspace working reliably. We do not access the content of your Word, Excel, PowerPoint, or Outlook documents beyond what the add-in needs to perform the action you request (for example, reading the active document to apply a template, or reading a SharePoint document reference to build a transmittal).
  • Website analytics: standard, aggregated technical information (such as browser type and page views) that our hosting provider may log to operate and secure this site.

3. How we use information

  • To respond to inquiries submitted through the contact form.
  • To provision, license, support, and bill SynthoCore Digital Workspace for customers.
  • To diagnose and fix bugs, and to improve the reliability of the Services.
  • To send service-related communications (for example, licensing or renewal notices) to customer administrators.
  • We do not sell personal information, and we do not use contact-form or customer data to serve third-party advertising.

4. How contact form submissions are handled

When you submit the contact form on this site, the information you provide is sent directly to our team's inbox ([email protected]) via an automated mailer ([email protected]) so we can respond to you. It is not sold, shared with advertisers, or used for any purpose other than replying to your inquiry.

5. Data location and retention

Customer documents remain in the customer's own Microsoft 365 tenant (Word, Excel, PowerPoint, Outlook, and SharePoint) at all times; SynthoCore Digital Workspace add-ins act on that content within the session but do not copy documents to SynthoSoft-operated servers. Contact-form and account information is retained only as long as needed to respond to your inquiry or to maintain an active customer relationship, and is deleted or anonymized thereafter unless we are required to keep it longer for legitimate business or legal reasons.

6. Your choices

You can ask us to access, correct, or delete personal information we hold about you by emailing [email protected]. We will respond within a reasonable time and in accordance with applicable Canadian privacy law (including PIPEDA and, where applicable, Ontario's private-sector privacy obligations).

7. Third-party services

This site and product rely on a small number of infrastructure providers — including Microsoft (Microsoft 365, SharePoint, and the Office Add-in platform) and our website/email hosting providers — to operate. These providers process information only as needed to deliver their service to us and are bound by their own privacy and security commitments.

8. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
